Worldox on-premise support is expected to end on 31 December 2026. If your firm still runs Worldox on a server in the office, that date is now a few weeks away.

It’s not a reason to panic. It is a reason to decide, deliberately, where your firm’s documents live next, rather than letting the deadline decide for you.

What’s actually happening

NetDocuments acquired Worldox in October 2022. Worldox Cloud support ended in late 2023, and on-premise support is now winding down, with NetDocuments partners pointing to 31 December 2026.

NetDocuments’ focus is moving Worldox customers onto its own cloud platform. That’s one option. It isn’t the only one.

If you haven’t had the end date confirmed in writing, ask your NetDocuments representative. It’s worth having for your records and your insurer.

What changes on 1 January (and what doesn’t)

Your files won’t disappear. Worldox will still open, and your team will still be able to find things the way they do today.

What stops is everything that keeps it safe and working:

  • No security patches. New vulnerabilities stay open.
  • No compatibility updates. As Windows and Microsoft 365 update, things that work today can quietly stop working.
  • No vendor support. When something breaks, it’s down to your IT partner or your own team.

Unsupported software tends to be fine until it isn’t. Cyber insurers and clients increasingly ask about it, too.

The runway is shorter than it looks

For accounting firms, January opens straight into busy season, and no one wants to migrate their document system mid-season. For any firm, a good move takes planning: agreeing what comes across, how it’s structured, and how your team will find things on day one.

That’s why the right time to plan is now, even if the move itself happens in the new year. Starting the conversation early means you choose the timing, not the server.

Your options, plainly

  1. Stay on Worldox, unsupported. Possible in the short term, but the risk grows every month.
  2. Move to NetDocuments. A cloud platform, run on NetDocuments’ infrastructure and usually migrated through a third-party partner.
  3. Move to a workspace on your own Microsoft 365. Your files live in your own SharePoint and OneDrive, under your control, with a workspace built on top that your team actually enjoys using.

Option three is where SuiteFiles comes in.

What “somewhere better” looks like

SuiteFiles is the intelligent workspace for professional service firms, built on the Microsoft 365 you already pay for.

  • Your data stays yours. Files sit in your own Microsoft 365 tenant. If you ever turn SuiteFiles off, every file and folder stays exactly where it is. No lock-in.
  • It feels familiar. Files and folders, organised by client. Your team gets the power of SharePoint without having to wrestle with it.
  • The whole job in one place. File emails straight from Outlook, create documents from templates, edit PDFs, send for e-signing and share with clients through a secure portal.
  • Work comes back finished. Signed documents file themselves back where they were sent from. No downloading, no re-filing.
  • One source of truth. Version history, co-authoring and full-text search across file contents, so no one is guessing which version is the real one.
  • Flat, published pricing. Signing and client portals are included. No per-signature charges and no surprise storage costs.

Moving is easier than staying

We know a document system migration sounds like a big job. It’s our job, not yours.

  1. We map your Worldox structure. We look at how your cabinets, profiles and client folders work today and mirror that in SuiteFiles.
  2. We manage the move. We plan the export and import with you and your IT partner, around your calendar.
  3. We get your team comfortable. Live training and tailored onboarding, so everyone knows where things are on their first morning.

Your IT partner stays in control of your tenant, permissions and security throughout. And because SuiteFiles runs on Microsoft 365, there’s no new server to buy and maintain.

See it on your own folders

The best way to know if SuiteFiles is right for your firm is to see it with your own structure. Book a 30-minute walkthrough and we’ll show you exactly how your files would look, how the move would work, and a realistic timeline. If it isn’t the right fit, we’ll tell you.
