Problem

Having previously used a server-based version of MYOB Accountants Enterprise and coming up to a server upgrade, STM Accounting had a decision ahead of them: invest $30-40k in a new server, or move to the cloud.

The efficiencies in cloud-based apps and the potential to automate processes – especially with Xero’s connected ledger pushing data into tax returns – were big selling points for going cloud-based.

Knowing that integrating with Xero and Microsoft was essential, the STM Accounting team looked at Dropbox and OneDrive before choosing SuiteFiles.

Solution

STM Accounting was drawn to SuiteFiles’ intuitive interface, and found immediate value in the Outlook add-in for saving emails and correspondence history, as well as the deep integration with Xero Practice Manager.

Their file migration included transferring shelves worth of paper files – a huge undertaking but one that means they now have all their client history backed up and easily accessible. Document retrieval is much easier now, with the ability to search historic files and find anything clients may have lost over time.

Email management using the Outlook add-in has been a big plus. Where staff needed to manually download emails and upload them to MYOB Accountants Enterprise before, they can now select the relevant client folder and save emails directly, with any future messages in the thread being auto-saved in the right place. Attaching documents straight from SuiteFiles is also a win.

STM Accounting has had massive cost savings by switching to SuiteFiles, and they’ve also been able to increase their billable hours through more streamlined document management processes.
