What’s New 

When you send a document out for signing through SuiteFiles, your client will now see a new “Summary” button in the signing interface. 

With one click, they can generate a AI-powered overview of the document, giving them a quick snapshot of what the document covers, without having to read it line by line right away. 

If they’d like a different take, they can hit “Re-summarise” and the AI will create a new version. Often this will be more concise or presented in a slightly different format. 

Think of these summaries as quick cheat sheets for your clients, helping them get oriented before they read through the details. 

Why It Matters for You 

This feature isn’t just nice for your clients – it’s good for your business too.  

Here’s why: 

  • It creates a smoother signing experience. Clients are more likely to engage with documents when they feel easy to approach. 
  • It encourages less hesitation. Instead of putting off reading a long document, they can quickly get the gist and move toward signing faster. 
  • It provides thoughtful and considered client service. Offering built-in summaries shows that you’re thinking about your client’s time and how to make the signing process convenient for them.

What Your Clients Will See 

Here’s how it works in practice for your recipients: 

  1. They open your signing request. 
  2. In the sidebar, they’ll spot a Summary button
  3. Clicking it instantly generates a digest of the document. 
  4. They can hide or revisit the sidebar at any time. 
  5. If they want a different angle, they simply hit Re-summarise

The summaries are deliberately lightweight and optional. They’re there when your client wants them, but they don’t get in the way if not. 

Setting Expectations 

There are a few important points to be aware of and share with your clients if needed: 

  • Summaries are AI-generated. That means they’re useful, but they won’t always capture every detail perfectly. 
  • They’re intentionally varied. Each re-summarize produces a slightly different take, to keep the information fresh and avoid repetition. 
  • They’re not a substitute. The summary is there to help clients understand the gist, but they should still read the full document before signing. 

And as we’ve all come to expect, every summary comes with a built-in content warning reminding clients that the text is AI-generated and may contain inaccuracies. 

Controls and Privacy 

We know AI raises important questions. Here’s what you need to know: 

  • Admin control. There’s an admin toggle in SuiteFiles that lets your business enable or disable AI features at any time. Right now, this controls summaries, but it will apply to other AI-powered tools we release in the future. 
  • Data privacy. Your documents are handled securely, and customer data is not used to train AI models. 
  • Responsibility. If you enable AI features, make sure your own terms and conditions cover the use of AI with client data. SuiteFiles’ terms make it clear that responsibility for usage sits with the customer.
